How much money is being wasted on SaaS?

Use license and usage data from a representative month. Keep the user categories below mutually exclusive where possible, otherwise the potential savings may be counted twice.

Used for all monetary fields. The calculator does not convert exchange rates.
Use the effective average price after discounts and annual commitments where possible.
No login or meaningful usage during the chosen period. Do not include underused users here.
Users who log in rarely or use the product so lightly that some seats may be removable.
Use a conservative estimate. If 20 of 50 underused seats can realistically be removed, enter 40%.
Active users who need the product but not the current expensive tier. Exclude unused and underused seats.
Difference between the current tier and the lower tier that still meets the user's needs.
Spend on separate products whose function is already covered elsewhere and may be removable.

This is an optimization estimate, not an automatic cancellation plan. Rare usage may still be business-critical, contracts can limit removals, and some overlap can be intentional for security, geography, or different workflows.

Why it matters

SaaS waste rarely looks like one large expense

It is usually dozens of small leaks: former employee accounts, licenses kept just in case, premium tiers for one feature, and several tools solving nearly the same problem.

The calculator is not a replacement for SaaS management or procurement review. It turns scattered usage issues into a financial number that can be discussed with product owners, IT, Finance, and Procurement.
